Please note that centralized management of all MS license subscriptions is aligned with one anniversary date of 31st of July.

Duration of licenses and associated cost are prorated against that end date. Licenses purchased will be valid until 31-Jul, and full year renewals can be processed from 01-Aug onward.

How do I purchase a Microsoft License?

First you must be sure of the license you need, choose from the list and use the monthly cost and multiply by the number of months.

Example: we are in November and need to purchase MS Visio License

1 license = USD 7.85*8 months = USD 62.80

Prepare the PR using Cost Center, choose the correct Material code: 4200000097, choose the correct Product: N9U-00002 description of the license, number of the months (8months for this example) and qty: 1, total cost USD 62.80

Please assign the PR to HQ IT procurement (in case the PR is not assigned properly, it will not be processed.)

Please always include the O365/email account to be assigned the license when submitting the PR.

How do I renew an existing license?

From now on, all the active licenses will be automatically renewed by end of July; Unless an information is given minimum 15 days before the end date of 31 July for cancelling the license.

In the time of full year renewal (i.e., in July), please note the following:

A campaign will be launched to all missions (users) to inform them that, unless we receive a notification before 22.07.2022, we will proceed to renew the MS license.

Cost for renewal will be directly charged to the mission Cost Center (and to relevant WBS for HQ staff).

How do I get the license after sending the PR?

Once IT Procurement gets the PR, they have 3 working days to process the PR
Once the order is placed, the vendor has 3 – 5 days to deliver the licenses.
Once the license is delivered, IT Procurement sends the list/name of the assignees to Support-ICT to assign the license.
Support- ICT has 1 – 2 days to assign the licenses
From this stage, the assignee must check on the o365 account if he/she has received the license and can work normally.

In case the assignee is facing an issue with using the license, he/she can contact a local IT support to help on installation; the assignee can also manually install it on his/her machine, and activate it using IOM email since the license is associated with the account.

In case the assignee does not know how to install the license, here is the example of how to install the Power BI.

Downloading and installing Power BI Desktop for Windows following the below steps:

Open a Browser and locate Microsoft’s Power BI Download page

Visit Microsoft's PowerBI download page in desired browser and click "Download Free", which will launch the Microsoft Store app window.

Download the Installer from the Microsoft Store app

Select the "Get" button.

Choose if you would like to use it on any compatible device, or just the current device.

The installation file will now begin downloading.

Launch the Windows Installer File

4 - Sign in with assignee/end user Office 365 ProPlus eligible account.

It should be fine to use the license. However, in case the assignee has any kind of technical issue to use the license, he/she should contact support-ict@iom.int for assistance.
